To reconcile GSTR-2B, download the statement for the month, match each line with your purchase register by GSTIN, invoice number, date and tax amounts, sort the differences into categories, chase vendors for missing invoices, and claim only the input tax credit you are eligible for in GSTR-3B.
The six steps
- ✓Download GSTR-2B for the month and your purchase register from the books.
- ✓Clean both: remove duplicates, standardise GSTIN and invoice number formats.
- ✓Match line by line using GSTIN + invoice number + amounts. Allow for small rounding differences.
- ✓Group the differences: in books but not in 2B, in 2B but not in books, and value or tax mismatches.
- ✓Follow up with suppliers for the first group, and check whether entries are missing from your books for the second.
- ✓Decide ITC eligibility, record the reconciliation and claim only what is supported in GSTR-3B.
Types of differences and what to do
| Difference | Usual cause | Action |
|---|---|---|
| In books, not in 2B | Supplier has not filed or reported the invoice | Follow up, hold the credit until it appears |
| In 2B, not in books | Invoice not entered, or wrong party or period | Check documents, enter if genuine |
| Amount mismatch | Typing error, rounding or amendment | Correct the books or ask supplier to amend |
| Wrong GSTIN or number format | Data entry or master error | Fix the master data and re-run |
Make it a monthly habit
Reconciliation is easiest when done every month soon after GSTR-2B is generated, with one person responsible and a short written note. A backlog of many months is far harder to clear and more likely to cause loss of credit or notices.
Tools
Tally Prime has reconciliation features, and Excel with a few lookup formulas is enough for smaller businesses. The method matters more than the tool, which is why we train both.
Check the rules
ITC conditions, time limits and portal features change. Confirm current provisions on the GST portal or with your CA.
